TERMS AND CONDITIONS

PAYMENT TERMS

To secure your booking, the following payment schedule applies:

  • 30% deposit at the time of booking.
  • 60% payable 30 days before departure.
  • 10% payable at the start of the safari.

Alternatively, guests may pay 100% of the tour cost at the time of booking for a hassle-free travel experience.

For bookings made less than 30 days before departure, we recommend:

  • 80% deposit upon booking.
  • 20% balance payable on the day the safari begins.

RESERVATIONS

Important Information for Booking Confirmation

To reconfirm your booking, please provide your full names as they appear on your Passport or National ID, together with your Passport/ID number. Failure to provide accurate information may result in the booking being considered fraudulent and may lead to cancellation, subject to these Terms and Conditions.

Please also provide your arrival details, including:

  • Airport of arrival
  • Flight number
  • Airline
  • Expected arrival time

This information is required to arrange your airport pick-up and transfer to your first accommodation.

CONFIRMATION

A booking is considered confirmed upon receipt of the required deposit in accordance with the payment terms above. If payment is not received and processed as required, we will be unable to confirm your trip.

TRANSPORTATION

  1. Transportation will be provided using well-maintained vehicles suitable for the nature of the safari or service booked. These may include:
  • Safari tour vans
  • Toyota Land Cruisers
  • Land Rovers
  • Toyota safari minibuses with pop-up roofs
  • Coaster buses
  • Luxury vehicles
  1. Guests are advised to reconfirm their preferred vehicle type at the time of booking.
  2. For airport and city transfers, we may use station wagons, saloon vehicles, coaches, or similar transport.
  3. Exotic Travel Centre Ltd reserves the right to employ the services of qualified subcontractors where necessary.

RATES

All rates are based on fares and operating costs prevailing at the time of publication. Prices are subject to change without prior notice if transportation costs, government charges, taxes, or currency exchange rates fluctuate.

CANCELLATIONS

In the event of cancellation:

  1. Deposits will be refunded less any expenses already incurred, including administration fees, bank charges, and supplier charges.
  2. If cancellation is received within 60 days of the commencement of the tour, a cancellation fee of up to 50% of the tour cost may apply.
  3. Cancellations made between 45 and 30 days prior to departure will be subject to the cancellation policies of lodges, hotels, and other suppliers.
  4. Cancellations made within 29 days of departure, or in the event of a no-show, will incur a charge of 100% of the total booking value.
  5. Gorilla permits are non-refundable.
  6. We strongly recommend purchasing comprehensive trip cancellation and travel insurance.

TOUR ALTERATIONS

  • Exotic Travel Centre reserves the right to alter routes, itineraries, accommodations, transportation, or other arrangements if circumstances beyond our control make such changes necessary.
  • Where possible, suitable alternatives of equal value will be provided.
  • The company also reserves the right to decline acceptance of, or remove, any participant from a tour at any time. In such cases, a fair refund may be considered where appropriate.
  • Gorilla permits may be transferable in certain circumstances, subject to the policies of the issuing authority.

LIABILITY

  1. General Liability

The Company and its agents act only as intermediaries for passengers in all matters relating to hotel accommodation, sightseeing, tours, and transportation, whether by air, rail, road, motor coach, ship, boat, or any other means. The Company shall not be liable for any injury, illness, delay, loss, damage, accident, or expense arising from any cause beyond its reasonable control.

  1. Transportation Liability

The Company’s liability to passengers carried in its own vehicles shall be governed by the laws of the country in which the tour takes place. Any claims arising from such transportation shall be subject to the jurisdiction of the courts of that country.

  1. Subcontractors

The Company reserves the right to employ subcontractors to carry out all or part of the services agreed upon. In such cases, the liability limitations contained in these Terms and Conditions shall continue to apply.

  1. Baggage and Personal Property

While every reasonable care is taken, the Company cannot accept responsibility for loss of or damage to baggage and personal belongings. Guests are strongly advised to obtain separate baggage and travel insurance.

  1. Indemnity

In the event that any claim is made against a Travel Agent or Tour Operator for loss or damage arising from any breach of contract, negligence, or other fault by the Company, the Company’s liability to indemnify the Travel Agent or Tour Operator shall be limited to the extent that such claim would have been successfully established against the Company in the courts of the country where the tour takes place, provided that the Travel Agent or Tour Operator has submitted to the jurisdiction of those courts.

Except as expressly stated in these Terms and Conditions, the Company shall have no further liability whatsoever in respect of any such claim.

ACCEPTANCE OF TERMS

By making a booking with Exotic Travel Centre, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
